Privacy Policy
Last updated 29 October 2026. This policy explains what personal data AppointVisa collects, why, and the choices you have. It is written to meet India's Digital Personal Data Protection Act, 2023 and the IT Act, 2000.
1. Who is responsible for your data
AppointVisa decides how your personal data is used (the "data fiduciary"). Contact us about anything in this policy:
- Service provider: AppointVisa
- Email: support@appointvisa.com
- Phone / WhatsApp: +919227090397
2. What we collect
- What you give us in a form: name, email, phone, WhatsApp / Telegram / Discord handles, country, visa category, appointment type, OFC and consular cities, number of applicants, preferred and current appointment dates, readiness answers and anything you write to us.
- To provide the service: access to your official scheduling account (shared privately after we connect), which shows the applicant details stored there, such as passport numbers; details of the applicants you request for; the appointment we book.
- Payments: amounts agreed and paid, dates and payment references. We don't store card or bank login details.
- Messages exchanged with our team on your chosen channels.
- Technical data: your IP address (to block abuse and spam), and which page, search engine, campaign or referral link brought you to us.
3. Why we use it
- To review your request, contact you and book your appointment.
- To send service messages: request status, booking confirmations, payment summaries.
- To handle payments, refunds, referral rewards and our accounting records.
- To keep the service secure and prevent fraud and spam.
- To send occasional offers by email — you can opt out at any time by replying "unsubscribe".
4. Your consent
We process your data on the basis of the consent you give when you submit a form or share your details with us, and for the legitimate uses the law allows (such as meeting legal obligations). You can withdraw consent at any time (see section 9); this doesn't affect what was done before, but we may then be unable to continue your request.
5. Your scheduling-account access
We never ask for your scheduling-account login in a public form. You share it only after we connect, through a private channel. Only the team members working on your request can use it, solely to search for and book appointments for you. We delete it when your request is closed. Please change your password once your appointment is booked.
6. Who we share it with
We do not sell your data or share it for advertising. It is shared only with:
- Our team members handling your request, who are bound to keep it confidential.
- Service providers who process it for us: website hosting, our email delivery provider, and the messaging apps you choose to talk to us on (WhatsApp, Telegram, Discord), each under their own privacy terms.
- The official scheduling system, when we book in your account.
- Authorities, when the law requires it.
7. Storage outside India
Some of our service providers may store or process data on servers outside India. We only use providers in countries not restricted by the Government of India, and expect them to protect it to the standard of this policy.
8. How long we keep it
- Scheduling-account access: deleted when your request is closed.
- Request details and messages: while your request is active and for up to 2 years after, to answer questions and handle disputes.
- Payment records: as long as Indian tax and accounting law requires.
- An enquiry that never became a request: up to 12 months.
9. Your rights
Under the DPDP Act you can ask us to:
- tell you what personal data we hold about you and who we've shared it with;
- correct, complete or update it;
- erase it, where we don't need to keep it by law;
- stop using it (withdraw consent);
- nominate someone to exercise these rights if you die or become incapacitated.
Email support@appointvisa.com. We reply within 30 days. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
10. Security
We use access controls, staff accounts with individual logins, audit logs, encrypted connections (HTTPS) and limits on automated requests. No system is perfectly secure; if a breach affects your data, we will inform you and the Data Protection Board as the law requires.
11. Children
We provide the service to adults. Details of applicants under 18 are accepted only from a parent or guardian, who consents for them.
12. Cookies and browser storage
We don't use advertising or tracking cookies, or third-party analytics. We count page views on our own server as daily totals per page and traffic source, with no cookies, IP addresses or visitor identifiers. The site stores a few small items in your own browser: where you came from (so your request is credited to the right page or referral), whether you've seen or claimed an offer popup, and, for staff, a sign-in cookie. Clearing your browser data removes them.
13. Changes to this policy
We may update this policy; the date above shows the latest version. We'll tell clients with an active request about important changes.
